Group meeting

A group meeting is a one-to-many meeting type where multiple clients can join a single meeting with a host. Group meetings are useful when you want to host webinars or training sessions that typically involve many clients.

In a group meeting, you can set the maximum number of clients that can book a particular meeting. If you have set the number as 50, then up to 50 clients can book the same time slot.

You also have the option to show the number of remaining slots in your booking page. Let's say you have set the maximum group size per slot as 10, and the 9 clients have booked the meeting at 10:00 AM. The 10th client trying to book the same slot will see "1 remaining slot" under the 10:00 AM. After the 10th client has made a booking, the 10:00 AM slot will no longer be available, as the maximum number of clients has been booked.

Creating a group meeting

  1. Click on the Scheduling links tab from the left sidebar.

  2. Click on the Add new scheduling link button.

  3. Select the second option, Group and click Continue.

  4. You will be redirected to the What tab, where you can specify your meeting details.

  5. Set the maximum group size per slot.

  6. Select Show remaining slots on the booking page (optional).

  7. Click on Save.

Does NeetoCal hide other participants' emails in invitations?

For Host

Host can see all the clients' emails as guests in the invitations.

For clients

If host has connected Google/Outlook/Microsoft 365 calendar, other participants can not see each other's email. However, iCloud Calendar does not support this, so participants can see each other's email.

Override customization of how meetings appear in your calendar

By default, Override customization of how meetings appear in your calendar will be enabled in group meetings. This is because you can view custom meeting names and body details for group meetings including meeting attendance (number of clients who booked the meeting).

Why I can not change the meeting duration?

Let's say you set the meeting duration to 30 minutes. Clients booked the slots. Then you change the meeting duration to 60 minutes. This creates conflict for the clients who booked the meeting. To prevent scheduling conflicts, You can not change the meeting duration if there are any existing bookings with that duration.

Messages for group meetings

You can send messages to all or specific clients in a group meeting.

To send a message to all clients, click on the bookings page and use the "Messages" tab.

Click on the client's name to send a message to a specific client. This will open an individual booking page for that client. Use the "Messages" tab on this page to send a message.

If clients send you messages, you can view them in the Messages tab on their individual booking pages. You can also view them from the main Messages tab.
