Recurring meetings

What is a Recurring Meeting?

The recurring meetings feature allows clients to book the same meeting multiple times in one go, on a schedule they choose. For example, a therapist might want to see her patient at the same time once a week for the next six weeks. Another example is someone taking guitar lessons once a week for the next eight weeks.

When a client opts for a meeting to be a Recurring meeting, the client chooses how often the meeting repeats and how many meetings to book. If the client wants to repeat the meeting 8 times, all eight slots are pre-booked for the client in a single booking.

Enabling the Recurring meetings

By default, this feature is not enabled. You need to follow the following steps to enable it.

  1. Click on your scheduling link.

  2. Click on Settings.

  3. Click on the Recurring Meetings card.

  4. Enable recurring meetings.

Choosing how often the meeting repeats

After the client picks the first slot on the booking page, they are asked "Would you like to make this a recurring meeting?". Choosing Yes shows two frequency options:

  • Repeat every: repeats the same day and time on a fixed cycle, such as every week, every 2 weeks, or every month.

  • Multiple times a week: the client adds a separate slot for each day and time they want, for example Monday and Thursday at 5:00 PM. Click Add another slot to add more days.

The client then sets how many meetings they want to book in total, and NeetoCal lists every date before the booking is confirmed.

Booking multiple days in a row

Recurring meetings can also book the same meeting on multiple consecutive days, for example every day for two or three weeks.

  1. On the booking page, pick the first day and select Yes when asked to make it a recurring meeting.

  2. Choose Multiple times a week and add a slot for every day of the week, each at the same time.

  3. Set the number of meetings to the number of days you want to cover.

Each day becomes its own booking, and all of them are confirmed in one go. A single recurring booking can include up to 25 meetings.

This also works for blocking entire days. If the meeting duration is set to 24 hours and the availability stays open from 12:00 AM to 11:59 PM, each 12:00 AM booking covers the whole day. Booking consecutive days this way reserves those days completely, and no other client can book them.

How payment works for recurring meetings

NeetoCal supports two ways to collect payment for recurring meetings. When enabling recurring meetings on a paid scheduling link, you will be asked to choose how clients should be charged.

How free recurring meetings work

For free meetings, if a client opts for recurring bookings, no payment-related information is necessary. Confirming the current meeting and all subsequent recurring meetings relies solely on the user's availability. As soon as the client books the meeting, all the recurring meetings for which the user is available will be confirmed.

What happens if I want to cancel or reschedule a particular meeting or series of recurring meetings

You can cancel or reschedule any particular meeting or series of recurring meetings without affecting the rest.

Webhooks for recurring meeting

If you’ve set up webhooks in your NeetoCal account, a separate POST request will be sent for each booking created through a recurring meeting. For example, if a recurring meeting creates 5 bookings, your webhook endpoint will receive 5 individual POST requests, one for each booking.
