How can we help?

Schedule meetings on behalf of the client

NeetoCal allows hosts to schedule a meeting for their clients if the host has all the necessary details. For example, if the meeting was confirmed over a call or in person, the host can proceed to schedule it using the client’s information.

Here are some scenarios where this feature can be particularly useful:

  • If the client is unable to access the scheduling link or is experiencing technical issues and has shared their details over an email or a call.

  • If a client is high-priority and needs extra attention, the host can use NeetoCal to set up meetings that match the client’s schedule and preferences. By booking on the client’s behalf, the host makes the process easier, shows personal care, and helps build trust and satisfaction.

Scheduling meetings on behalf of the client

  1. Click on the Scheduling links tab on the left side pane.

  2. Click on the Scheduling link for which you want to book a meeting on behalf of your client.

  3. Click on the View meeting icon or paste the scheduling link on a new tab.

  4. On the booking page, choose a time slot.

  5. Enter the client details and click on Submit.

  6. Meeting is scheduled and both the host and the client will receive an email invitation.

When a scheduling link requires payment, you can reserve a slot for the client without asking them to pay in NeetoCal. Use this when the client has already paid, or will pay outside NeetoCal.

  1. Open the booking page for the paid scheduling link, as in steps 1 to 3 above.

  2. Choose a time slot.

  3. Enter the client details and click on Proceed.

  4. On the payment step, select Reserve slot without sending a payment link.

  5. Click on Reserve slot.

The slot is held for the client, but the booking isn't confirmed yet. If your Google Calendar is connected, the client receives a calendar invitation for that time. Once you've received the payment, confirm the booking:

  1. Click on Bookings from the left side bar.

  2. Click on the booking.

  3. Click on Confirm booking.

  4. To record the payment, check Mark as paid.

  5. Click on Confirm.

NeetoCal emails the booking confirmation to you and the client. If the booking still isn't confirmed when the meeting starts, NeetoCal cancels it.

You can also reserve a slot and let the client pay online later. NeetoCal emails the client a link to pay.

  1. Open the booking page for the paid scheduling link, as in steps 1 to 3 above.

  2. Choose a time slot.

  3. Enter the client details and click on Proceed.

  4. On the payment step, select Reserve slot and send payment link to client.

  5. Click on Reserve slot & send link.

The booking is confirmed automatically once the client pays. If the client doesn't pay before the meeting starts, NeetoCal cancels the booking.

Book any slot without any restriction

As an admin or host, there may be times when you need to book a slot that falls outside your normal availability. For example, a client asks for a time that is already full, or you want to add a booking after hours. NeetoCal lets you do this without changing your availability settings.

When you create a booking, look for the checkbox that reads "Book any slot by overriding all availability rules."

With this option checked, NeetoCal skips its usual slot checks, including availability schedules, existing bookings, calendar conflicts, lead times, booking limits, and group seat caps. This lets you place the booking on any time you choose.

  1. Go to the booking scheduling page.

  2. Find the checkbox labelled "Book any slot by overriding all availability rules."

  3. Check the box to book a slot outside your standard available times.

  4. Pick the date and time you want, and complete the booking as usual.
