How can we help?

Book a meeting on behalf of the customer and send a payment link

When you and a customer have already agreed on a date and time for a paid meeting, you can book it for them and let them pay afterwards. NeetoCal holds the slot, emails the customer a payment link, and confirms the booking as soon as they pay.

The customer has until the meeting's start time to pay. If they haven't paid by then, NeetoCal cancels the booking automatically and emails them to let them know.

  1. Go to Scheduling links and open the scheduling link you want to book.

  2. Pick the date and time slot.

  3. Enter the customer's details and click Proceed.

  4. On the payment page, under Logged in as [your name] (Host), select Reserve a booking and send a payment link.

  5. Click Reserve and send payment link.

The slot is reserved straight away and the booking appears in your Bookings page with the status Reserved. The customer receives an email saying the meeting hasn't been paid for yet, the date and time by which they need to pay, and a Pay now button. Clicking Pay now opens the payment page, where they pay as they normally would. Once the payment goes through, the booking is confirmed and both of you receive the usual confirmation email.

NeetoCal sends this payment email once. If you want to remind the customer, do so directly.

To give the customer a discount, apply the discount code on the payment page before you choose an option. The customer then pays only the discounted amount. See Discount codes.

Booking a recurring series

On a scheduling link that charges before each meeting, the customer pays for the first session from the payment link. The payment method they use is saved, and each later session in the series is charged to it automatically before it starts.

If the customer already has a payment method saved from an earlier payment to you through NeetoCal, you can charge it for the whole series instead of sending a payment link. Each session, including the first, is charged automatically before it starts, and the customer gets an email showing when each session will be charged.

A customer's payment method is saved when they pay for a recurring series, or when they check Preserve this card for all future payments while paying for a single booking.

  1. Follow steps 1 to 3 above for the recurring series.

  2. On the payment page, select Reserve a booking and charge the client's saved payment method.

  3. Click Reserve and charge saved method.

This option appears only when the scheduling link uses Stripe and charges before each meeting, the customer's email address already has a saved payment method, and no discount code is applied. If a charge fails, the customer is emailed a link to pay for that session.

If the customer pays you outside NeetoCal, for example by bank transfer or in person, confirm the booking without sending a payment link.

  1. Follow the steps above until you reach the payment page.

  2. Under Logged in as [your name] (Host), select Confirm a booking without sending a payment link.

  3. If you've already received the payment, check Already collected a payment, choose Online or Cash, and enter the Transaction ID for an online payment.

  4. Click Confirm booking, or Confirm booking and mark as paid if you checked the box.

The customer is not asked to pay. The booking is confirmed straight away and isn't cancelled automatically, even if no payment is recorded. If you didn't mark it as paid, the payment shows as pending until you confirm it from the Bookings tab.
